GAMES ON TAP AMBASSADOR - Responsible for:

(1) Arrive by 5:45-6:00 pm and set up gear by 6:30 pm.
Put out the name tag binders, sign in sheets, players wanted signs and brochures.  Check inventory on blank name tags and sign in sheets. 
(2) Welcome members (old & new). 
It is important to always keep an eye on the entrance to the gaming area.  We don't want any new people standing awkward for long.  Ask how new people heard about the event, ask if they know about the website.  If there isn't enough time to talk to people when they first sign in, try and make a point of finding them later in the night.  Offer them a brochure.  After 8:30 pm there is rarely new people showing up so feel free to get involved a game, but still keep an eye out.
(3) Name tags
Help people find their name tags, make temporary ones if needed.  All name tags should have first and last name (and saskgames ID)
When walking around remind anyone that isn't wearing a name tag that they need one.  If they are resistant you can say that it is a requirement from O'Hanlons for the servers and staff.
(4) Sign In
Remind people to sign in. It is important for us to track attendance at our events.
(5) Get people in a game
Assist new (and old) attendees with getting involved in a game. Play a game from the ambassador kit if needed.
(6) Announcements
Between 7:30 and 8:00 make the announcements. Ask any saskgames volunteers and/or executive members if they have special announcements. There is a cheat sheet to help with the regular announcements.
(7) Keep a general eye on things
Walk around and note anything that may need attention or discussion. Feel free to ask other saskgames volunteers for help or use the forums afterwards.
(8) Pack up gear after 10 pm
Anytime after 10 pm ask everyone to turn in their name tags, and give the gear to O'Hanlons staff for storage.  Give sign in sheets to an executive member.
(9) Wrap Up Post
Post the wrap up post by 9 am Thursday morning.  It should include a list of the games played (write the titles down throughout the night) as well as the attendance and any special announcements. This post is copied into Facebook and Twitter so try and catch any typos. Here is the Games on Tap Recap Post Template.

ALL OF US - Responsible for:
(1) Lend a hand to help people get signed in if the evening is busy.
(2) Make sure everyone is wearing a name badge with FIRST & LAST name.
(3) Keep an eye out for any issues / troubles and bring them up with the ambassador group if they occur.
(4) At the end of the night, check the area for lost game components

Here's a template for announcements at Games on Tap:

1.   Introduce yourself.
2.   Thank everyone for coming.  Special Thanks to Beer Bros and SaskGames for putting on this event.
3.   Remind people to sign in, state how many people are in attendance.  Welcome any newcomers.
4.   State the server’s name.  Remind people to be nice as they are serving a large group, and to pay their bill and don’t forget to tip.
5.   Remind people to wear nametags with first and last names on them.  (Important for Beer Bros waitstaff)
6.   Provide one or more of the following details (from the Information/FAQ Thread):
    a.   While adult-themed games are allowed at Games on Tap, SaskGames reserves the right to end a game if the theme is offensive to another patron.
    b.   Games on Tap is a 19+ event and, of course, minors are not allowed.
    c.   Beer Bros staff will be attending to the group’s needs, drinks and food. Be polite.
    d.   While food may occasionally be in the gaming area and around games, make sure to always ask the owner of the game you are playing if they are comfortable with food around their game. They have the right to say no.
    e.   Coasters will be available in the gaming area and you just have to ask. Every drink should have a coaster to avoid wet rings on the tables.
    f.   At Beer Bros, we will most commonly be in the side room (the staff will know if you ask). Occasionally, we may be relocated to the back room or main room. Signs will be put up to indicate where we are on a given week.
    g.   Parking downtown can sometimes be very tricky. Parking on Victoria, Scarth, and other side streets can be taken on first come, first served basis for FREE after 6 pm. As for paid parking, there are several options in the downtown core, a block or two away from Beer Bros. Ask your ambassador or other regulars for suggestions.
    h.   Please always add your forum name to your nametag. This is important for Membership Tracking.
    i.   Explain how the printed nametags work (You need to attend CC 10 times and have your forum name on your nametag.  The stickers are for how many times you’ve attended our different events.)
7.   Special events/announcements (check Talking Points thread).

I know we don't have official schedules past the end of June, but I want to put here that I will be out of city for the following periods:

July 15th - July 30th

Sept 1st - Sept 18th

I will be unavailable throughout July, August, and September. We have a ton of stuff like swimming lessons for G that fall on Wednesdays and a month of travel.
